Following is an overview of the changes from version 1.8.16

Both the MS Access and MS SQL versions of TPS have been updated to include the following modifications:

bullet Employee Rights - Emailing invoices
bullet Multi-Office - numerous changes to permissions and queries for multi-office environments
bullet Windows 7. TPS works with Windows 7 but version 1.9.xx is required to run properly. (Version 1.8.xx is not compatible with Windows 7.)
bullet Reports – Crystal Report runtime engine v 8.5 has been upgraded to Crystal XI. We have updated all of our reports (over 250) to run via the new Crystal XI runtime engine IMPORTANT NOTE FOR CLIENTS WITH CUSTOM REPORTS: For anyone who has had TPS write custom reports, those reports are all Crystal version 8.5. Unfortunately, Crystal XI is not backwards compatible and will not be able to read a Crystal 8.5 report. You will need to contact TPS and we will work on upgrading your custom reports. Depending on the complexity of the report, there may be a fee for having our report writer bring the report up to Crystal XI. Please take this into consideration prior to updating from TPS v 1.8.xx to 1.9.16. CAUTION – Crystal XI has two advantages in that it allows the ‘drill down’ to data from reports, this will be implemented over time and new releases of TPS, Secondly it allows more than one version of crystal to be installed on the same computer without conflicts (Simply Accounting user). DRAWBACK – The crystal report engine has to load the first time the report is run on the computer (that day or session) you are running the report. So the first report load is slower, but subsequent reports run at similar speeds to the current Crystal 8.5. Also terminal services have fewer conflicts in XI.
bullet WIP Detail Reports - Landscape– all WIP Detail reports have been reformatted to print Landscape – thus allowing the Time Entry Description to print on the same row as the Date, Employee, Workcode, Hours and Amount. For anyone preferring a Portrait formatted WIP report – the Billing Worksheet set of reports remain in Portrait.
bullet Employee Specific Employee Time Sheet Reports: Special Permissions - You can now give your employees the ability to run three specific time reports for only themselves (and not show any other employees on the report). In the Employee Properties; Rights; Reports tab, the employee must have NO to Time reports and YES to any or all of the three specific reports listed in the lower right: Time Sheet Detail by Client, Emp. Time Sheet by W/C, Time Expense Detail by Day.
bullet Billing Realization by Client Summary with Hours – Billing Realization by client that shows hours billed and the $/hr rate.
bullet Client Phone List Report – now brings in the default phone labels (set up in the Firm Properties) as column headers on the report.
bullet Client Log from Time Entry – you may now right click on a line of time entry to launch the Client Log for that client.
bullet Payments – minor change to the flow and messages concerning inactive clients.
bullet Statement Batch – Four AR Statement Templates are included and installed in your Template Directory: ARSTC.dot & ARSTI.dot are the default templates that the program will use to create Detail Statements. ARSTCBalFw.dot and ARSTIBalFw.dot are the two templates a client can use (by renaming to ARSTC and ARSTI) if they want a Balance Forward (Summary) Statement via Word.
bullet Engagement Letter Templates – Three updated templates for the following engagement letters have been included: Audit Rep Letter – Cdn, NTR – Rep letter – Cdn, Review – Rep letter – Cdn
bullet Due Date Utility; Create Dates for Calendar – Calendar can now be created for 2011 and beyond.
bullet Billing Screen – Current Billed column now shows all billed amounts from current period start to current date.
bullet Reports – Client Cash – added two new Cash collections reports showing 2 year year to date and month to date reports
bullet Reports – Client Expense Description report added
bullet Detail Bill – Efail_status error corrected for Windows 7 64 bit users
bullet Dashboard – Updates to the Clients with WIP Over 120 and Clients with AR Over 120 reports.
bullet Dashboard – Due Dates Past Due now suppresses due dates with extensions that due sometime in the future.
bullet Outlook synchronization – thanks to one of our clients we found and solved an elusive error that plagued some firms in Edit Synchronization.
bullet Compatible with Office 2010
bullet Compact/Repair Utility – this utility (you are normally prompted to run on Mondays) now has a safeguard built in to stop the compact if there are any problems creating the new compacted copy of the database. We found that some computers have a restriction that doesn’t allow the creation of a new copy and users were left with their live database renamed as Bills.sav and no new compacted copy of Bills.mdb. If the repair finds that the computer cannot make the new copy it will stop the compact/repair and leave the Bills.mdb as is.

Inquiry Button added to Payment screen. Allows you to launch the Client Inquiry from the Payment screen so you can look up invoices or past payments.

Tools; Email Invoice Batch. Allows you to email invoices (as Word Document attachments) to your clients.

Additional variables for Tools; Statement Batch so that you can create Summary AR Statements (Balance Forward) via MS Word merge.

Additional variables for Invoice templates so that your monthly finance charge can appear on your invoice as well as a separate variable for Adjustments. The variable @%CashReceived%@ will now Only bring in payment amounts. It will no longer also bring in adjustment and finance charge amounts as well.

Transfer of WIP from Client Inquiry Screen. You may now select multiple lines of WIP and transfer at once.

Tools; Mass Mailing - Letters. Allows you to generate a mass mailing via MS Word from within TPS using your own custom letter templates.

Time Client Select Preference – when selecting a client in the Time Entry screen, you will be able to see the full name of ‘personal’ clients (e.g. John Smith, rather than Smith)

Due Dates Tab in Client Properties – you will be able to create a new custom due date directly from the Due Date Tab within the client properties. The ability to add a due date to the Calendar from within the Client Properties has also been added (as long as that due date is within the current month).

Reports; Activity; Monthly Billing - 3 Year Compare – allows you to see the monthly billing for each client and compare for 3 years.

Reports; A/R Summary Aging (date based) / 90 Days – Detailed – shows the detail of each aged balance for your clients.

Following is an overview of the changes from version 1.7.x

Version 1.8.12

New Reports. TPS focused primarily on added and enhancing reports in this release. Seventy one reports have been added or enhanced since the release of 1.8.06. Here is an overview of the hi-lites:

Due Dates – There are now 7 preformatted Due Date reports.

Tax Preparation Forms – We have Two reports that Clients were kind enough to suggest {note we can still add more before tax season – if you email them to us.}

Bank Deposit - TPs always had a client cash report to match your deposits but it would split out multi invoice checks, now it matches the check amount regardless of the number of invoices the check has paid.

bullet

Cash Reports – a new 12 month cash report by client added along with a cash by invoice and an average collection period report.

Client Taxes – a new 12 month client tax report added to the AR Report section
WIP- Four reports have been added two in WIP and two in Billing Worksheet. In Billing Worksheet it the ‘Client Detail- Detail’ provides Name address and phone # as well as subtotalling by work code (currently TPS subtotals on the Work type and Sub-type). Similarly in the WIP Detail – By Employee instead of sorting by date and totalling after each employee it subtotals after each Work code. {Note it you have a lot a of work codes these reports will use a lot of paper!)

Firm Monthly Productivity Recap by Client – 12 month ageing provides a snapshot hours and $ on each client in a calendar year (Unilink people will like this)

Firm Monthly Productivity Recap by Employee - 12 month ageing provides a snapshot hours and $ on each Employee in a calendar year (Unilink people will like this)

Profit by Client – More than a realization report, this shows the Gross profit as well as % realized on each client for a date range. {note you need to have the ‘overhead rate’ filled in on each employee – as you need a cost if you are to calculate profit.}

Billing Realization by Work code – now allows for the analysis of work code billing realization by partner

Main Icons Interface - Additional Icons have been added in the main row of icons that represent functions that were originally stored under Tools. Over time we have found that these functions were used frequently enough to merit their own icons for ease of access.

New Report Interface -TPS has over 200 reports - to make accessing these reports simpler and to standardize the access we have revised the main TPS report menu. This provides consistency in selecting reports and is in preparation for adding additional filtering in future releases of TPS.

All Clients Balance - In both the WIP Tab and AR Tab clients appear in Last Name, First Name format for easier sorting by column header.

Activity Report - 5 Year Comparison now has Client Filter.

Statement Batch - now provides statements for clients with credit balances. Also has new selection to include payments from next period (i.e. August 31 Statement that would include payments received in September).

Incomplete Invoice section - now allows for the use of the Shift key to select a range of invoices to which you may then apply a single paragraph (checkered flag icon - complete invoice).

Groups Field - Size of the Groups field in Client Properties has been increased to 50 characters

Quickbooks Link - We are now providing a feature that will link TPS and Quickbooks to synchronize Client information (name, address, phone, etc.). This is our initial foray into linking TPS with Quickbooks and at this time maintains the synchronization between the client tables in each program. Based on the feedback received, further synchronization of accounting transactions is will be considered for the future and will be incorporated into the software development plans based on market interest and feedback from our clients
