How does TPS interact with my accounting program so my General Ledger (G/L) is kept up to date?

TPS operates as your "Accounts Receivable (A/R) Sub-Ledger maintaining all the records on the time entered, the Work in Progress (WIP), invoices, payments, adjustments and finance charges. TPS is a full-featured Time, WIP and AR system so there is no need to duplicate the information in another accounting program. Each month, TPS provides a couple of simple reports that provide the total amounts required for a recurring G/L batch to record the "change in WIP and change in AR". Some firms break out the cash received into separate deposits to make it easier to reconcile the bank account.

How does the TPS licensing work with administrative and personnel that we track time for?

TPS is licensed by "active" timekeepers - the number of people you keep track of time for (not how many employees enter time or how many employees are in the firm). If you have 17 employees and one leaves and you hire one you will have 18 employees time records in WIP but only 17 are 'active' timekeepers thus a 17 timekeeper license is all that is required.

How secure is the information in TPS?

The TPS database uses a secure encryption to ensure no unauthorized access to the information. Each user is granted individual rights to the specific functions and features of TPS. For instance it is possible to eliminate the display of the billing rate of an employee.

What report writer does TPS use?

Creating custom reports is achieved using Crystal Reports (11). Crystal reports is a powerful Windows-based report writer. TPS also uses MS Word 97 -Word 2007 for invoice templates and forms.

Is the TPS database "Open" to MS Access?

Due to the data encryption security, the MS Access database is not accessible except through Crystal reports. TPS does provide an "Export" feature that will copy all the non-encrypted information to a separate "Export.mdb" file.

What does TPS support include?

Support provides virtually unlimited access to our knowledgeable support staff. All calls are handled on a first-come, first-served basis. During slow times our response will generally be immediate or 1 hour maximum. During peak support times, we have not exceeded 24 hours.

Is it possible to share the "contacts" within MS Outlook without MS Exchange installed on the network?

Yes - TPS provides a non-Outlook configuration. Using an Outlook configuration, Microsoft provides an alternate method for sharing MS Outlook folders if MS Exchange is not installed on the network. The alternative is MS Net Folders. Detailed instructions for installing this option by emailing TPS support.

Do I need MS Word? why not Word Perfect?

Yes, on at least one work station if you plan on using the TPS invoicing feature. TPS chose to standardize on MS Word as it's invoice and form generation word processing application.

"Can't open msdadc.dll"

Some versions of Windows 95 require the installation of two separate files, DCOM.ex and MDAC_TYP.exe. If you receive this error, contact TPS support and you will be given a web site address to access these files.

Zero Amount Bills

a) Zero bill - Quick bill. This allows the write-off (markdown) of all the remaining WIP in a client (or engagement).
b) Zero bill - Detail bill. This allows the write-off (markdown) of selected line items of WIP to zero dollars.
TIP To maintain the continuity of the invoice numbers, prior to entering/creating a new "zero" invoice, go to Firm Properties and change the default Invoice Prefix to a different character, like "Z", run the zero invoices and then change the default Invoice Prefix back. This will create a separate set of numbering for the "Z" type invoices.

Details Not Printing in Statements

Likely there is a second Crystal .dll file located on the computer
Go to Windows Explorer - Choose - Find Files or Folders and in the file name type - p2sodbc.dll

If there are two files listed, go to the Windows Crystal directory and rename the p2sodbc.dll to something like p2sodbc_old.dll

Unable to choose Landscape format in Time Entry Report

In this report it is necessary to change the format of the printer prior to running this report. We are aware of this problem and are investigating alternatives for future releases.

How do I adjust taxes after the fact?

You have to create payment $963, click ok, then create one adjustment $107,and click ok. TPS automatically create two payment transactions: PaymentID InvoiceID ClientID PayDate Amount Tax Status

Is it possible to run an A/R Reconciliation Report for a date in history?

Yes, but it requires the computer system date to be set to the desired date prior to running the report.

What do all the "codes" mean in the Multiple Employee Query?

I am using a Linux server and when I install or update TPS I get an error message part way through the report file install and the install stops?

This is a known issues with our installer software and Linux. to work around this, install TPS locally (on the C or local disk drive) and copy the Reports folder.
